Membership Terms and Conditions
Terms and Conditions for Membership at **The PicklePad** (Pickleball and Padel Centre) by Smeda Sports Ltd.
- **Membership Agreement**
By becoming a member of The PicklePad, you agree to the following terms and conditions governing the use of our facilities, services, and amenities. This membership agreement is a legally binding contract between you (the “Member”) and The PicklePad (the “Centre”).
- **Membership Types** –
THE PATRON Membership – (Pickleball and Padel) Access for one adult over 18 years old. (Only eligible for our weekly regular Smeda Pickleball Players)
THE PICKLER Membership (Pickleball Only) – Access for one adult over 18 years old.
THE PADELER Membership (Padel Only) – Access for one adult over 18 years old.
The DUO Membership (Pickleball & Padel) – Access for one adult over 18 years old.
Children Pay as You Go Access for one child aged between 10 – 17 years old (must be accompanied by a parent or guardian).
GUEST PASS – Access for one adult over 18 years old.

TRAVELLING CLUBS – Bespoke packages to be created on a case by case basis.
Memberships can be amended, reviewed or new memberships maybe added at any time by the management team at PicklePad Centre under Smeda Sports Ltd.
- **Minimum Membership Term** – All Introductory prices are only available if you remain as a member. If you cancel and leave you will not be eligible for any Introductory Membership offers. All memberships will continue on a rolling monthly basis except under extenuating circumstances as outlined in (Section 7 on Membership Freeze and Cancellations).
- **Membership Fees and Payment** – Membership fees are payable either **monthly** or **annually**, depending on the plan selected at the time of subscription. Fees must be paid by direct debit, and are charged in advance for each month or year of membership. – In case of a failed payment, The PicklePad reserves the right to suspend membership access until the outstanding balance is settled. Members are responsible for updating payment details if there are any changes.
The Centre reserves the right to review and adjust membership fees at any time. Members will be notified at least **30 days in advance** of any changes.
- **Access and Use of Facilities** – Members are entitled to use The PicklePad’s facilities, including pickleball and padel courts, during operational hours and in accordance with term and conditions, code of conduct policies and dependant on your membership type. – Access may be subject to availability, and advance booking is strongly recommended. Bookings are to be made online.
Memberships are **non-transferable** and cannot be shared or used by individuals other than the registered member. ###
- **Court Reservations and Cancellations** – Court bookings must be made in advance, and members are expected to adhere to the Centre’s **court booking and cancellation policy**. A **24-hour notice** is required for court cancellations. Failure to cancel within this timeframe or frequent no-shows may result in booking privileges being suspended or fees being applied. – Courts may only be used for pickleball and padel, and you MUST have the appropriate footwear (non-marking shoes) and you must wear suitable sporting clothing whilst playing Pickleball, Padel or using the gym, yoga pilates.
- **Membership Pause and Cancellation** – **Membership Pause**: Memberships that qualify are entitled to request a freeze of their membership for up to **2 consecutive months** within a 12-month period. A pause may be granted for reasons such as medical issues, extended travel, or personal circumstances. – A written request for a pause must be submitted at least **28 days in advance** of the desired start date. – During the pause period, membership fees will be reduced to a **holding fee** of **[£15] per month**. – The pause period does **not count** towards the minimum membership term, which will be extended accordingly.
**Cancellation Term**: Membership can be cancelled by providing **30 days’ written notice**. – Cancellation must be submitted via email or in writing to The PicklePad’s team. – Any outstanding payments must be settled before cancellation is finalised.
– **Early Cancellation (Within 31 days)**: Early cancellation within 31 days is only permitted in cases of: – Medical conditions preventing the member from using the facilities (a medical certificate may be required). – Relocation more than 50 miles away from The PicklePad Centre. Other exceptional circumstances, subject to management approval. – In such cases, the member may be subject to an **early termination fee** of up to **50% of the remaining monthly balance**.
- **Guest Policy** – Members may bring guests, subject to the Centre’s guest pass fee, which is payable online. – Each guest is limited to **one every 3 months ** and members are responsible for ensuring their guests follow all rules and conduct standards. Members can buy additional passes but availability may not be available. All guests must complete the legal waiver and introduction session prior to being allowed to play either Pickleball or Padel. All guests must complete the PAR Q if using the players gym. The PicklePad reserves the right to restrict guest access during peak hours or special events. Guests will not be permitted to attend social sessions and mix in sessions as you must be a subscribing member for these privileges.
- **Code of Conduct** – All members and guests must adhere to The PicklePad’s **Code of Conduct**, which promotes sportsmanship, respect, and safety. – The Centre has a **zero-tolerance policy** towards inappropriate behaviour, including harassment, aggressive behaviour, discrimination, or misuse of equipment and facilities. – Breaches of the Code of Conduct will result in termination of membership without a refund.
We reserve the right to ask any member or guest to leave the premises if their behaviour is found to be in violation of our Code of Conduct or these Terms and Conditions. This includes, but is not limited to, actions that disrupt the environment, compromise the safety or comfort of others, or otherwise fail to comply with our stated policies. Failure to comply with a request to leave may result in further action, including suspension or termination of membership.
- **Health and Safety** – Members are responsible for ensuring they are medically fit to engage in physical activities. The PicklePad is not liable for any injury, illness, or health condition that may arise from participation in activities at the Centre. – Members must follow all health and safety protocols, including those related to emergencies and ongoing public health concerns (- Any injuries or accidents must be reported to the Centre’s staff immediately). All members must complete the online waiver.
- **Liability Waiver** – By joining The PicklePad, members acknowledge that they use the facilities at their own risk. – The PicklePad is not responsible for any loss, theft, or damage to personal belongings. – The Centre shall not be held liable for any personal injuries or damages incurred during the use of the Centre.
11.1 The PicklePad cannot be held responsible for any service or facility being unavailable for reasons outside of their control. The PicklePad reserves the right to make alterations to services provided, the programme of activities and to the facilities. Wherever possible, members will be provided with advance notice
- **Data Protection** – The PicklePad collects and stores personal data for the purpose of administering memberships, bookings, and communications. – All personal data will be treated in accordance with applicable data protection laws and will not be shared with third parties without the member’s consent, except where required by law. Members have the right to access and correct their personal data at any time. For further details refer to the members privacy policy.
- **Amendments to Terms and Conditions** – The PicklePad reserves the right to modify these terms and conditions at any time. Members will be notified of significant changes with at least **30 days’ notice**. – Continued use of the Centre following such changes will be deemed as acceptance of the updated terms.

15.**CCTV** Members are reminded that the centre has CCTV cameras within all public areas including the playing courts. They are there for everyone’s health and safety. If an allegation of crime happens then footage will be passed to the local police under our legal duty of law and order.
- **Health and Safety** All members must report any spillages, breakages or any items that do not work Immediately to staff. All members have a duty to keep the centre clean ad tidy and are asked to put rubbish in the bins provided and alert staff if something does not look correct. Any individuals responsible for deliberate damage will be liable to pay if required the damage may be reported to the police. Any individual deliberately damaging any of the PicklePad’s property will be required to pay for the damage and will be removed and will not be allowed further entry.
- **Access To Centre** A QR Individual Membership code will be generated once a subscription is received for membership. This QR code will be scanned at the entry door by the subscribing member, this will allow the member access to the centre. This Individual membership QR code is not transferable to anyone else.
- **No Shows At Sessions* – A 24 hour cancellation policy will be in place, failure to cancel within the 24 hr period will result in you not being refunded. A waiting list will be provided and members will be encouraged to seek a replacement from the waiting list. Schedules will be populated in advance of sessions. Any repeat NO SHOWS will be subject to a fee.
19. Inappropriate behaviour will not be tolerated in the Members Premium Lounge or anywhere within the centre. No crime and disorder is allowed at the centre at any time. Any incidents of crime and disorder will be reported to the Police.
Under the premises licence all staff will be allowed to ask members to leave the premises if their behaviour falls below the required standard under your own personal responsibility. Any member of staff can refuse the sale of alcohol to any member and the Designated Premises Supervisor must be called. If anyone is drunk or appears to be drunk they will be refused any further alcohol and will be asked to leave, with efforts being made to ensure their safe travel home. The Designated Premises Supervisor will be informed of all incidents.
A challenge 25 policy will be in place and any doubt about someones age, Photographic Id will be asked for, this will be recorded in the licensing register.
Any breaches of these terms and conditions will result in immediate termination and removal of that member from the centre and they will not be allowed to return.
This is required by the centre under our Health and Safety and Fire regulations in order to monitor how many members are at the centre at any one time.
By becoming a member of The PicklePad, you agree to these terms and conditions and commit to fostering a positive, safe and inclusive community at the Centre.
These terms can be changed at any time by the Management Team.
